Behind the Scenes: A Day in the Life of an Event Professional at Brandition

When people think of events, they usually imagine the end result.  The twinkle of a fairy light at a Christmas Party, the perfectly styled table at a Melbourne Cup event, or the atmosphere buzzing around a Food and Wine Festival. What they don’t see is everything that happens behind the scenes to bring those moments to life.

We often joke that we’re part designer, part builder, part problem-solver, and part magician. The truth is, an event is equal parts creativity and logistics, and it takes a team of passionate people to make it all come together.

Early Morning and Late Night Energy

Our days start early or late, sometimes before the sun comes up or well after it has gone down. Trucks get loaded, coffee gets poured, and everyone checks their run sheets for the day. Jess, our Logistics Manager, is usually the one with her hand on the schedule.

“Event management is basically one giant puzzle,” Jess explains. “You’re working out how many trucks we need, how many crew, how long it takes to get things in and out, and then add in traffic, weather, and all the surprises. I love it though, it’s like Tetris, but with chairs and flowers.”

While Jess manages the flow, Darcy and the crew are loading gear, double-checking straps, and heading out to site. Belinda is usually in the warehouse, making sure the event furniture hire pieces are clean, repaired, and ready for their next outing.

Creativity Meets Planning

Of course, it’s not just about logistics. Event styling is where the magic begins, and that’s where Nicola and Taylor shine.

Nicola explains: “Every client has a vision, whether it’s clear as day or just a feeling they want to capture. Our job is to translate that into something real.  Tables, flowers, light, colour, flow. That’s the creative side, but then we layer in the practical, what will actually work in the space, how many chairs will fit, how long it will take to set up. Creativity and practicality have to go hand in hand.”

Taylor adds, “People think it’s all the pretty stuff, but it’s also about being mindful of everyone else who’s working in the space, caterers, AV, venue managers. We’re always asking: Who do we need to work around? How do we make it seamless for everyone? It’s a team sport.” Want to read more about this? https://brandition.com.au/post/it-takes-a-village-styling-in-unique-venues/

On Site: Lifting, Building, Designing

Once the trucks arrive, it’s all hands on deck. We’re unloading lounges, tables, florals, signage, and sometimes some pretty quirky pieces too, like pineapples or a massive big archways.

Yes, it can be heavy work. Yes, sometimes we’re up ladders hanging lights from ceilings or carefully manoeuvring oversized furniture through tight doorways. But as Darcy jokes, “Who needs a gym membership when you’ve got events?”

Belinda chimed into this conversation with: “I like the challenge of making sure everything is solid and safe. We’re kind of like temporary builders and engineers, except our structures only need to stand for 24 hours, then we pack them away again.” That’s the bittersweet beauty of events. Nothing is permanent. You create something extraordinary, it shines for a moment in time, and then it disappears. But that moment is everything.

It’s a team sport.”

The Flexibility Factor

No two events are ever the same. A Christmas party in the Brisbane CBD is a completely different beast from a sprawling wine festival by the bay. And even with the best planning, things change on site.

Nicola puts it best: “You’ve got to be smart on your feet. The weather might change, the venue might add restrictions, or another supplier’s delivery runs late. You can’t panic, you just adjust. That’s part of the fun.” Taylor: “It’s the moments when you problem-solve as a team that stick with you. Like when we figured out how to hang a huge floral installation without rigging points, or when we squeezed a 2.4metre bar into a lift that was only just big enough. It’s those challenges that make you proud at the end.” On our Instagram site there are a few of those “problem solving moments”: https://www.instagram.com/p/DOFbw4YATVi/

The Back-End Work Nobody Sees

Behind every styled table and polished chair is a mountain of behind-the-scenes organisation. We’re talking:

  • How many chairs fit around that table?
  • How many trucks will it take to move this gear?
  • Who’s responsible for power, lighting, and timing?
  • How long will this set-up actually take?
  • Which suppliers are on site, and have we worked with them before?

Jess sums it up: “It’s about creating systems and making sure everyone knows their role. That way, when the creative stuff comes into play, it looks effortless.”

And of course, there’s the sustainability piece too. It’s not just about what we set up, but how we pack it away. Reusing, repairing, and repurposing wherever possible is built into our mindset.

Belinda explains: “I love giving pieces a new life. It’s not glamorous, but it’s important. The less waste, the better.” Here’s a short story on a bar I built recently: https://brandition.com.au/post/sustainability-the-making-of-the-repurposed-bar/

The Payoff

At the end of the day, there’s nothing like stepping back and seeing it all come together. The candles flicker, the florals bloom, the furniture sits perfectly in place, and guests begin to arrive, full of excitement.

Taylor reflects: “That moment when guests walk in and you hear the ‘wow’ that’s what it’s all about. All the lifting, sweating, planning, and stressing, it’s worth it in that instant.”

Nicola adds, “It’s a privilege, really. We get to build something beautiful, even if it’s just for one night. We’re architects, artists, and storytellers all rolled into one. And then we pack it all away and start again.”

Why We Love What We Do

Working in events isn’t easy.  It’s long hours, heavy lifting, problem-solving, and endless details. But it’s also creative, exciting, and full of energy. Most importantly, it’s about people.  Our clients, our suppliers, and our team.

Darcy says it best: “We work hard, but we have fun doing it. You’ve got Nicola leading, Taylor making everything look incredible, Jess keeping us on track, Belinda making sure everything’s solid, and the rest of us keeping the wheels turning. It only works because we’ve got each other’s backs.”

And that’s what makes the difference. At Brandition, it’s never just about the pretty things. It’s about the people, the teamwork, and the passion that go into every single event.

Because at the end of the day, we don’t just style events, we create moments people remember. Want to know more about our team? Read here:https://brandition.com.au/our-people/
